APPA Tournament Terms & Conditions of Entry

When entering an APPA tournament, all members agree to comply with the following Terms & Conditions.

1. Refund Policy

Refunds may be requested up until the tournament draw is published.
To request a refund, players must contact secretary@aupoolplayers.org.
Once the draw has been published, no refunds will be issued under any circumstances, including withdrawals, scheduling conflicts, or changes in personal circumstances.
Refunds will be processed to the original payment method unless otherwise agreed in writing.
APPA may, at its sole discretion, consider a refund in exceptional circumstances such as documented medical emergencies. Any such consideration is ex gratia and does not create precedent.

2. Player Code of Conduct

Players must:

Behave in a sporting manner at all times toward players, officials and spectators.
Not make detrimental statements about the performance of match officials or referees.
Play by the rules at all times and ensure the game of pool is not brought into disrepute.
Not engage in inappropriate and/or physical contact with players or officials during play.
Accept responsibility for all actions taken.
Adhere to the Anti‑Doping Policy (WADA).
Not bet on the outcome or any aspect of a match or competition.
Not attempt to achieve a contrived outcome or improperly influence any match or competition.
Adhere to the APPA Member Protection Policy, including racial and sexual vilification provisions.
Respect the rights, dignity and worth of every person regardless of gender, ability, cultural background or religion.
Respect the Referee’s decision. Do not use foul language, gestures, harass, sledge, threaten or intimidate a Referee or Match Official, or show dissension or disapproval in an abusive or unreasonable manner.
Not engage in any conduct that adversely affects, reflects on, or discredits the game of pool, APPA, a member, team, competition, tournament, sponsor, official supplier or licensee, including illegal acts or acts of dishonesty or fraud.
Refrain from using obscene, offensive or insulting language or gestures toward players, officials or spectators.

Enforcement:

The Sports Director and/or APPA Competitions & Events staff are responsible for ensuring compliance with this Code of Conduct.

3. Tournament Procedures – Player Requirements

3.1 Players Meeting

All players must attend the players meeting before the playing session begins.

3.2 Warm‑Up and Practice

Before any group stage begins, each player is afforded 5 minutes on the match table to warm up.
Once matches have started, no practice is permitted on match tables.
In knockout stages, each player will again be afforded 5 minutes warm‑up on the match table.

3.3 Match Procedure

All matches must be played in the order assigned.
The winner must submit the match score promptly.

4. Dress Code

• Smart casual. No offensive attire.

• Smart polo or dress shirt (not sleeveless)

• Dark trousers or dark jeans (no shorts)

• Footwear: dark trainers or fully covered shoes

The tournament dress code will be strictly enforced. Any player whose attire is considered by the Tournament Director to be non-compliant may be directed to change before continuing play. Players who fail to comply may be disqualified from the event.

5. General Conditions

APPA reserves the right to modify schedules, formats, rules, or venues as required for operational or safety reasons.
APPA may refuse entry or remove a player from the tournament for breaches of the Code of Conduct or Terms & Conditions.
Players are responsible for ensuring they are available for all scheduled matches.
Players must comply with all venue rules and directions from APPA officials.

6. Liability Waiver

Players participate in APPA tournaments at their own risk.
APPA, its officials, volunteers and partners accept no liability for injuries, losses, or damages incurred during participation, except where required by law.
Players are responsible for their own personal insurance coverage.

7. Photography & Media Consent

By entering an APPA tournament, players consent to the use of their name, image, likeness, and match footage for promotional, livestreaming, social media, and archival purposes.
APPA retains the right to use event photography and video for marketing, reporting, and sponsor obligations.
Players who have specific privacy concerns must notify the Secretary in writing prior to the event.

8. Membership Requirement

Players must hold a current APPA membership to participate unless otherwise stated for a specific event.
Membership status may be verified at any time by APPA officials.
